Organisation meets responsibility – your role in dispatching

We are looking for a committed individual to join our team in the dispatching department. This role combines logistical planning, communication with customers and service providers, and active involvement in shaping our internal processes. Tasks and responsibilities:

  • Planning and organisation:
  • Commissioning and coordinating external freight forwarders for national and international transport.
  • Optimising transport routes, considering costs, deadlines and efficiency.
  • Monitoring the timely collection and delivery of goods.
  • Communication and coordination with customers:
  • Proactively informing customers about delivery dates, delays or deviations.
  • Clarifying customer enquiries about deliveries, transport status and possible special requests.
  • Working closely with customer service to ensure high customer satisfaction.
  • Documenting and following up on customer feedback on transport processes.
  • Communicating with shipping companies and internal departments:
  • Coordinating transport details, routes and requirements with shipping companies.
  • Working with internal departments such as warehousing, purchasing and sales to ensure smooth processes.
  • Maintaining and developing long-term business relationships with logistics service providers.
  • Monitoring and control:
  • Ensuring compliance with contractually agreed delivery terms and quality standards.
  • Tracking deliveries and clarifying delays or deviations.
  • Checking and approving invoices from external freight forwarders.
  • Documentation and reporting:
  • Creating and maintaining transport documents (e.g. delivery notes, shipping documents).
  • Managing and updating the master data of freight forwarders and customers in the system.
  • Optimisation and process improvement:
  • Identifying potential for optimisation to improve cost and time efficiency.
  • Participation in projects for the digitisation and automation of scheduling processes.

Requirements and qualifications:

  • Completed commercial training, ideally in freight forwarding, logistics services or a comparable qualification.
  • Professional experience in dispatching or logistics with a focus on commissioning external service providers.
  • Strong communication and negotiation skills in dealing with customers and freight forwarders.
  • Organisational talent and ability to coordinate multiple processes simultaneously.
  • Confident use of MS Office and specialist IT systems (e.g. ERP systems).
  • Ability to work in a team, resilience and a structured approach to work.
